What happens after I receive your first email?

A flow of small icons from left to right, demonstrating the steps we will follow after the initial email is sent: call/email to discuss details, event brief (send your own or I can provide a template), pre-event tech check and finally, Event Day!

What is included in the final package?

  • High resolution PNG files of the final image(s), more file types can be requested

  • High quality timelapse video(s) of the graphic recording(s) taking place

  • The ability for you to request reasonable edits to both the final image and video.

More questions? Here’s a list of FAQs!

  • For sure, I know artists can go hard on marketing.

In my own words, it’s basically visual notetaking. A graphic recorder joins an event live (or sometimes watches a pre-recorded video of the event) and listens to the presentation/talk/meeting while simultaneously translating the information into a summary drawing of sorts. So a 2-3 hour presentation will be condensed down to an infographic.

Traditionally graphic recorders draw on huge pieces of paper or a whiteboard, but now thanks to technology some people draw on digital tablets (like me!).

  • I am comfortable with both arrangements. Because I work exclusively on a digital tablet, my tools can be packed and set up conveniently wherever fits your needs.

For in-person events, costs such as travel and hotel will be included in the quote, making it more expensive than online events. However, in-person graphic recording has the following benefits:

    • Provide an interactive element for participants as they watch an artist work live

    • I can move around and easily capture break-out groups or multiple speakers

    • Better collaboration between me and the technical support team, potentially helps tech issues to be resolved faster.

On the other hand, online events' advantages should not be overlooked:

    • There are no travel costs, making this option perfect for budget-mindful clients, while still allowing for the great impact of graphic recording

    • More convenient for event organizers as set up time for an online event tends to be shorter

    • As a climate-conscious artist, working online is less impactful with regard to carbon emissions. Recent research indicates that the majority of an event's climate impact is the result of travel, with virtual conferencing substantially reducing carbon output and energy consumption by 94% and 90%, respectively!

Whether it’s engaging my services online or in-person at your event, my role as a Graphic Recorder can be flexible according to your conference needs. If you want to discuss this further, be sure to reach out!

  • In short, a few hundred to more than a thousand Euros. The factors that influence my pricing structure are as followed:

    • In-person or online? If in-person, in Germany, Europe, or international?

    • The duration of the event: Half days of course cost less than a weekend conference

    • The scale: Is this an event by a smal non-profit or a multinational corporation?

    • Will it be one single presentation or a dynamic event with multiple talks/breakout groups?

    • And more.

The cost of graphic recording is not just for the event day, but also for all the preparations that come before. For an individual, non-binding quote, send me an email at buffienguyen@gmail.comwhere you mention the factors described above.

  • Short answer: No, not really. But I can definitely recommend you folks that do and do it well.

Long answer: I am trained in digital graphic recording. For me, the flexibility and vibrancy of digital art cannot be matched. I can easily update the brand’s color palette last minute, move elements around, delete sections without compromising the final composition, and of course provide you with that clear, high quality timelapse. Trust me, you don’t want a video with my awkward drawing posture in the frame ;)

  • For online events, you just need a steady wifi connection and a video call platform that allows for screensharing (and multiple screensharing participants, if your speaker is also presenting).

For in-person events, it depends on what you would like. One set up is a small projector and screen on the side of the main speaker stage, where the graphic recording will be shown at all times as it’s happening. Another set up is the technical support team could incorporate the live graphic recording into the speaker’s presentation or switch back and forth when no slides are on. Let’s talk about the options!

  • Yes! This will also be a part of the preparation process. We will discuss the theme(s) of your event, and what topics will be presented. I will do preliminary research beforehand. Usually, I will also request a “cheat sheet” with common industry acronyms and terms.

That being said, graphic recorders are trained to process and summarize information even when we don’t understand 100% of what’s being said.

  • I cannot do graphic recording in German but my German is sufficient enough for behind-the-scenes communication.

  • I understand that long conferences can pose many accessibility challenges: from the bright ceiling lights, carpeted floors, lack of interpreters, to the fast pace that some presenters can speak. On my side, accommodations that I provide usually by default and free of cost (because disability accommodations should not cost extra) are:

    • Suggest adjustments to brand colors in case text contrast is too low

    • Avoid a primarily red-green palette, or if the agreed-upon palette has to be so, then we can discuss options to increase value contrast

    • Generous use of icons and symbols to aid comprehension

    • Adaptive communication for organizers and participants with sensory differences

Accessibility services I can provide that will cost extra include:

    • Complete alt text for the final image (meaning all hand-written text will be typed out, alongside visual descriptions of drawings)

    • A separate, plain language version of the graphic recording

Let's work together and find a way to make your event as inclusive as possible!

  • Short answer: Most likely, but there will be a rush fee.
Longer answer: There’s a lot of preparation from both of our sides, and I assume even more on your plate as the organizer. On my side, a shorter timeline will require me to move around personal arrangements. A more comfortable time frame for both you and me is around 4 weeks or more.
